How to use the Overbooking feature?

Optional feature: Rental Operators can use this feature to add virtual vehicles and accept bookings against these vehicles.

Step 1: This feature is set at the branch level. By default, this feature is disabled for all branches. To enable it, go to Settings and then click on Organisation. 

Step 2: Click on the Organisation Name to open the Organisation Structure. 

Step 3: Click on the Branch tab and then scroll down to select the branch and click on the Update button. 

Step 4: Here, you'll see the 'Allow Overbooking' toggle below the Add Tax toggle. Click on the toggle to turn it on and then click on the Save button. 



Step 5: Now, navigate to Fleet and then to Fleet Inventory. 

Step 6: Here, you'll see a new button on the top, called 'Add Virtual Vehicles'. 



Step 7: Click on this button to add one or more virtual vehicles. 



Step 8: Enter all the details of the virtual/ghost vehicle here. You'll have to select a vehicle group as well here (from the existing vehicle groups). 

Step 9: Click on the 'Add Vehicle' button once all details have been entered. 



Step 10: This virtual vehicle will now be added to this branch's fleet inventory with a unique virtual vehicle registration. 



Step 11: Next, you can go and create a booking as usual from the Bookings menu. 

Step 12: Once you have entered the booking details and clicked on the Search button, you'll see this virtual vehicle available under the selected vehicle group and denoted by the words 'Virtual Vehicle' in red on the left. 



Step 13: Select the vehicle and click on the Continue button as usual. 

Step 14: Once you create the quote, it will look the same as usual. 



Step 15: Click on the Pay & Confirm button to select a payment method and confirm the booking. 

Step 16: Once this is done, you'll see the Booking Management page where the booking status will be Confirmed, and under the Vehicle Details section, the vehicle status will be Virtual Vehicle for indication. 



Step 17: That's it. You've successfully created a virtual vehicle on the system and then also created a booking against it. 

Note: You'll not be able to complete the vehicle check-out on the Coastr for Partners mobile app for a booking with a virtual vehicle. Therefore, you'll either need to eventually add a physical vehicle to the Fleet Inventory and then update such bookings with the physical vehicle or any other existing vehicle to be able to fulfill the booking.
