How to do Fleet Transfer?

This article will help you understand, initiate, and complete the fleet transfer process (permanent vehicle ownership transfer) between branches on the Coastr platform.

Step 1: Go to Fleet in the left-hand navigation and click on Fleet Transfer. 

 

Step 2: Next, select a destination branch from the dropdown. This is the branch to which you want to transfer a vehicle permanently from the current branch. 

 

Step 3: Once the destination branch is selected, you'll see all the vehicles (and their details like registration numbers, make, model, year, and body type) in the current branch listed in the left-hand side list. 

 

Step 4: Now select a vehicle that you want to transfer permanently to the destination branch. You can search for vehicle registration numbers using the search box to find a particular vehicle. Click on the '+' (plus) icon on the corresponding vehicle to add the vehicle to initiate the transfer. An information tooltip on a vehicle indicates either this vehicle has one or more active bookings or services or an existing transfer process.  

 

Step 5: Once a vehicle has been selected, it will move into the right-hand side list. In case you want to remove the selected vehicle, click on the '-' (minus) icon on the corresponding vehicle. 

 

Step 6: Next, scroll down and click on the Save button to continue. 

 

Step 7: Now, read the Vehicle Transfer Alert carefully. When ready, click on the checkbox to confirm you've read and agree to the Vehicle Transfer Alert. Click on the Confirm button to continue. 

 

Step 8: You'll be automatically redirected to the Fleet Movement page where in the movements table, a movement record has been created for this vehicle with the reason as 'Fleet Transfer' and the Status as 'Pending'. Click on the Confirm button to continue.  

 

Step 9: Enter the Driver's name in the textbox and then click on the Confirm button to continue. 

 

Step 10: Once this is done, the status will change to 'Confirmed' on the movements table. 

 

Step 11: Both Branch 1 and Branch 2 will be able to view this movement's details by clicking on the movement's reference number on the movements table. 

 

Step 12: The next step is for Branch 1 to complete the Departure Checks for this movement on the Operator mobile app. For this, the Branch 1 rental operator needs to log in to Operator mobile app and click on the Internal Movements tab where they will see this movement. 

 

Step 13: Next, click on the movement to see the Movement Summary. Here you'll be able to see all movement details like reason, source branch details, destination branch details, vehicle details and be able to do the Departure as well as the Delivery Checks (to be carried out by the Driver). 

 

Step 14: To start the Departure Checks, click on the Start button next to it and do the vehicle checks as usual by going through the Exterior and Interior damage screens, Accessories screen, Mileage screen, and the Signature screen. Once this is done, you will see the Departure Checks marked as done. The Status on the Movements table on the web app will also be updated to say that the Check-out is complete. 

 

Step 15: Now, the Checkout Vehicle button needs to be clicked and then the vehicle is ready to be driven to the other branch. The Status on the Movements table on the web app will be updated to say that the movement is now In Transit. 

 

Step 16: Once the driver reaches the other branch, they need to carry out the Delivery Checks by clicking on the Start button next to it and do the vehicle checks as usual by going through the Exterior and Interior damage screens, Accessories screen, Mileage screen, and the Signature screen. Once this is done, you will see the Delivery Checks also marked as done. The Status on the Movements table on the web app will also be updated to say that the Check-in is complete. 

 

Step 17: Now, the Checkin Vehicle button needs to be clicked and then the Movement process is complete. The Status on the Movements table on the web app will be updated to say that the movement is now `Delivered. 

 

Step 18: This vehicle will now appear in the Fleet Inventory and the Vehicle Scheduler of Branch 2, which is now the owner of this vehicle. This vehicle can now be used for bookings as usual.
