How to do Fleet Movement?

This article will help you understand, initiate, and complete the fleet movement process (temporary fleet sharing) between branches on the Coastr platform.  

Step 1: Go to Fleet Movement in the left-hand navigation and click on Branch Connections. 


Step 2: Click on the New Connection button. 


Step 3: Next, select a Branch from the Branch dropdown, enter the Transit time in minutes (minimum 15), enter the Fuel cost and the Driver cost. Click on the Add button if you want to set up another branch connection.  

Step 4: Next, select vehicle(s) which you'd like to share with the above-selected branch(es). You can do this either by selecting a vehicle registration number directly from the search vehicles dropdown or by selecting a whole vehicle group from the search vehicle groups dropdown. 


Step 5: Once a vehicle is selected, this will appear in the list below with their make, model, and year. 


Step 6: Next, scroll down and click on the Save button to continue. 


Step 7: Now, the branch connection will be saved and will appear in the Branch Connection table. If you want to update any previous details, this can be done by clicking on the branch connection. 


Step 8: Once this is done, this vehicle will be available for bookings in the other branch. It will be visible in the Vehicle Scheduler of Branch 2 as well. The branch name will appear next to the vehicle model. 

Also, in the New Booking flow, the branch name will appear next to the vehicle group name. 


Step 9: Once a confirmed booking is created for this shared vehicle, this will trigger a movement to be created in the Movements table. Branch 1 will need to approve this by clicking on the 'Confirm' button against this movement in the Movements table. 


Step 10: Branch 1 will also need to add a Driver's name when confirming a movement. 


Step 11: Once the Confirm button is clicked, the movement status will change to Confirmed. 


Step 12: Both Branch 1 and Branch 2 will be able to view this movement's details by clicking on the movement's reference number on the movements table. 


Step 13: The next step is for Branch 1 to complete the Departure Checks for this movement on the Operator mobile app. For this, the Branch 1 rental operator needs to log in to Operator mobile app and click on the Internal Movements tab where they will see this movement. 


Step 14: Next, click on the movement to see the Movement Summary. Here you'll be able to see all movement details like reason, source branch details, destination branch details, vehicle details and be able to do the Departure as well as the Delivery Checks (to be carried out by the Driver). 

Step 15: To start the Departure Checks, click on the Start button next to it and do the vehicle checks as usual by going through the Exterior and Interior damage screens, Accessories screen, Mileage screen, and the Signature screen. Once this is done, you will see the Departure Checks marked as done. The Status on the Movements table on the web app will also be updated to say that the Check-out is complete. 

Step 16: Now, the Checkout Vehicle button needs to be clicked and then the vehicle is ready to be driven to the other branch. The Status on the Movements table on the web app will be updated to say that the movement is now In Transit. 
 

Step 17: Once the driver reaches the other branch, they need to carry out the Delivery Checks by clicking on the Start button next to it and do the vehicle checks as usual by going through the Exterior and Interior damage screens, Accessories screen, Mileage screen, and the Signature screen. Once this is done, you will see the Delivery Checks also marked as done. The Status on the Movements table on the web app will also be updated to say that the Check-in is complete. 

Step 18: Now, the Checkin Vehicle button needs to be clicked and then the Movement process is complete. The Status on the Movements table on the web app will be updated to say that the movement is now `Delivered. 


Step 19: This vehicle can now be used for the booking for which this movement was created in the first place. On the Bookings table, because this booking is for a shared vehicle, an information tooltip will be shown next to the vehicle registration number which will indicate that this is a shared vehicle and also the branch name from where it is shared. This booking can now be carried out as usual by Branch 2.
